Emergency Response Plan Drills

The emergency response plan drill section allows field staff to create emergency response plan drills of emergency response plans for job sites. Emergency Response Plan Drills are R & T Electric Pro's way of testing emergency response plans. Drills take the emergency response plan possible emergencies and adds them as scenarios to be tested.

R & T Electric Pro can be configured to match your companies safety policy regarding how often emergency response plans must be conducted and/or updated. This can be configured in the Company Safety Settings section for more information in this manual click here.

1.Add Emergency Response Plan Drill

Steps
  1. From the Main Menu screen, tap the On Site Paperwork button.
  2. Then tap on the Emergency Response Plan Drill button.
  3. This opens the Add Emergency Response Plan Drill entry screen.
  4. Date: The date field allow field staff to choose the date the emergency response plan occurs.
    1. Tap the Date field to open the Choose Date screen.
    2. Scroll the date wheel on the far left of the screen until the desired date is highlighted.
    3. Return to the Add Emergency Response Plan Drill screen by either tapping Save in the top right corner to select the highlighted date or tapping Cancel in the top left corner to leave the Date: field unchanged.
  5. Job Site with ERP: The emergency response plan for job site field to open the Choose Emergency Response Plan screen.
  6. Emergency Response Plans are listed in descending order with the emergency response plan date in blue text, the job site name in red text, and the address in black text.

    Note: New Emergency Response Plans are not automatically added to the list when they are created, so it may be necessary to update the list click here to view information about updating for the desired emergency response plans to be included in the list.

    1. Scroll the list of emergency response plans until the desired emergency response plan is displayed on the screen.
    2. Tap the desired emergency response plan to select it or tap Back in the top left corner to leave the emergency response plan field unchanged and return to the Add Emergency Response Plan Drill screen.
    3. Return to the Add Emergency Response Plan Drill screen by either tapping Save in the top right corner to select the highlighted work order or tapping Cancel in the top left corner to leave the Emergency Response Plan field unchanged.
  7. Tap the + icon in the top right corner to add the Emergency Response Plan Drill.
    • A pop-up message that reads Emergency Response Plan Drill Added indicates that the Emergency Response Plan Drill is ready to have details to be entered.

    Error Messages on Add Emergency Response Plan Drill if

    • Emergency Response Plan not selected: if no plan is selected a error message will appear asking users to select a emergency response plan.
    • Emergency Response Plan Drill all ready added: if emergency response plan drill is all ready added a error message will appear telling users a emergency response plan drill is all ready added.

2.Look Up Open Emergency Response Plan Drill

Once in the Emergency Response Plan Drill section

Steps
  1. Tap the second tab on the menu, the Emergency Response Plan Drill view.
  2. To Search Emergency Response Plan Drills: Pull down on the list view, the search is defaulted to search by date enter the date in following format YYYY-MM-DD. The other option for the Emergency Response Plan Drill search by job site name. Enter your search criteria and click the Search button.

  3. Scroll the list of Emergency Response Plans until the desired Emergency Response Plan Drill is displayed on the screen. Listing the emergency response plan drill date in blue text, the job site in red text.
  4. Tap on the Emergency Response Plan Drill you would like to view. This loads the emergency response plan drill edit screen.

3.Edit Emergency Response Plan Drill Details

The first step in completing a Emergency Response Plan Drill is completing the details of the drill the date.

Once on the Emergency Response Plan Drill you would like to Edit, on the first details tab.

Fields
  1. Date: The date field allow field staff to choose the date and time the emergency response plan drill occurs.
    1. Tap the Date field to open the Choose Date screen.
    2. Scroll the date wheel on the far left of the screen until the desired date is highlighted.
    3. Return to the Edit Emergency Response Plan Drill screen by either tapping Save in the top right corner to select the highlighted date or tapping Cancel in the top left corner to leave the Date: field unchanged.
  2. Tap Save in the top right corner to save any changes to the Emergency Response Plan Drill Details.
    • A pop-up message that reads Emergency Response Plan Drill Details have been Saved indicates that the emergency response plan drill details have been saved.

4.Add Employee to Emergency Response Plan Drill

Adding employees to the Emergency Response Plan Drill is crucial to reporting accurately. In order to have an accurate picture of the job site, adding employees to the Emergency Response Plan Drill needed. While the emergency response plan drill was created, the first employee was added toemergency response plan drill. Adding other field staff to the emergency response plan drill allows a group of workers to share the same emergency response plan drill. Once a emergency response plan drill is submitted all employee's added to the emergency response plan drill will have access to the emergency response plan drill.

Once on the Emergency Response Plan Drill you would like to Edit

Steps
  1. Tap the Employees icon at the bottom of the screen to open the Employees screen.
  2. Tap the + icon in the top right corner to open the Employees list or tap Employees in the top left corner to return to the Employees screen.
  3. Employees are listed in descending order of last name.

    To Search Employees: Pull down on the list view, the search is defaulted to search by last name. The other option for the Employee search is by first name. Enter your search criteria and click the Search button.

  4. Scroll the list of employees until the desired employee is displayed on the screen.
    1. If the desired employee is in the list, tap the employee to add them to the Emergency Response Plan Drill.
    2. A pop-up message that reads Employee Added indicates that the employee is now listed on the Emergency Response Plan Drill Employees screen.

      Error Message on Add Employee

      • Employee cannot be added twice: Employees cannot be added twice to confined space entry report.
    3. If the desired employee is not in the list, tap Add Outside Employee in the top left corner of the screen to open the New Employee screen.
      1. First Name: The First Name field should indicate the legal given name of the employee. First Name is a required field. The character limit of this field is 25.
      2. Last Name: The Last Name field should indicate the legal surname of the employee. Last Name is a required field. The character limit of this field is 25.
      3. Email: The Email field should indicate the best (i.e., most often used for business purposes) e-mail address for the employee. The character limit of this field is 50.
      4. Phone Number: The Phone Number field should indicate the best (i.e., most often used for business purposes) telephone number (land line or cellular) for the employee. The character limit of this field is 13.
      5. Company: The Company field should indicate the name of the company for which the employee works. The character limit of this field is 75.
  5. Tap Save in the top right corner of the screen to add the outside employee to the Emergency Response Plan Drill

5.Add Employee Signature

Each employee added to the Emergency Response Plan Drill must provide an electronic signature to indicate that they have taken part in the emergency response plan drill.

Once on the Emergency Response Plan Drill you would like to Edit

Steps
  1. Tap the Employees icon at the bottom of the screen to open the Employees screen.
  2. Scroll the list of employees until the desired employee is displayed on the screen.
  3. Tap the desired employee to select them and open the Edit Employee screen
  4. Have the selected employee sign in the white space beneath the Save New Signature Here label.
  5. Tap Save in the top right corner of the screen to update the Saved Signature field.
  6. The saved signature will appear below the signature entry screen.

6.Delete Employee

Once on the Emergency Response Plan Drill you would like to Edit

  1. Tap the Employees icon at the bottom of the screen to open the Employees screen.
  2. Scroll the list of employees until the desired employee is displayed on the screen.
  3. Swipe from the right edge to the left to bring up the delete button for the employee.
  4. Tap the Delete button. The employee will be deleted.

8.Add Drill Scenario

Drill Scenario are the possible situations that may occur on a job site. For each Drill Scenario on the emergency response plan drill, users should include the response and responsibilities of field staff in the case of each emergency. Its important that field staff knows what their responsibilities are in the case of a emergency so people are not confused.

Once on the Emergency Response Plan Drill you would like to view

Steps
  1. Tap on the third tab, the Drill Scenario icon at the bottom of the screen to open the Drill Scenario screen. The screen loads with the list of drill scenarios, Listing the dill scenario in black.
  2. Tap the + icon in the top right corner to open the Add Drill Scenario screen.
  3. Fields
  4. Drill Scenario: The Drill Scenario field allows field staff to enter drill scenario that could occur on a job site. Drill Scenario is a required field. The character limit of this field is 50.
  5. Description: The Description field allows field staff to enter response and responsibilities of field staff during a drill scenario that could occur on a job site. The character limit of this field is 250.
  6. Issues Found: The Issues Found field allows field staff to enter a description of the issues found during a drill scenario. The character limit of this field is 500.
  7. Corrective Actions: The Corrective Action field allows field staff to enter corrective actions that be taken to resolve issues. The character limit of this field is 500.
  8. Tap save button in the top right corner to save the drill scenario.

9.Look Up Drill Scenario

Once on the Emergency Response Plan you would like to view

  1. Tap on the fourth tab, the Drill Scenario icon at the bottom of the screen to open the Drill Scenario screen. The screen loads with the list of possible emergencies, Listing the drill scenario name in black and the response in red.
  2. Scroll the list of Drill Scenario until the desired emergency is displayed on the screen.
  3. Tap on the desired drill scenario. This loads the edit Drill Scenario screen.

10.Edit Drill Scenario

Once on the Drill Scenario you would like to edit.

  1. Drill Scenario: The Drill Scenario field allows field staff to enter drill scenario that could occur on a job site. Drill Scenario is a required field. The character limit of this field is 50.
  2. Description: The Description field allows field staff to enter response and responsibilities of field staff during a drill scenario that could occur on a job site. The character limit of this field is 250.
  3. Issues Found: The Issues Found field allows field staff to enter a description of the issues found during a drill scenario. The character limit of this field is 500.
  4. Corrective Actions: The Corrective Action field allows field staff to enter corrective actions that be taken to resolve issues. The character limit of this field is 500.
  5. Tap save button in the top right corner to save the drill scenario.

11.Delete Drill Scenario

Once in the Emergency Response Plan Drill section

Steps
  1. Tap on the fourth tab, the Possible Emergency icon at the bottom of the screen to open the Possible Emergency screen. The screen loads with the list of possible emergencies, Listing the possible emergencies in black and the response and responsibilities in red.
  2. Scroll the list of Possible Emergency until the desired emergency is displayed on the screen.
  3. Swipe from the right edge to the left to bring up the delete button for the possible emergency.
  4. Tap the Delete button. The possible emergency will be deleted.

13.Submit Emergency Response Plan Drill

Once on the Emergency Response Plan Drill you would like to Edit, on the first tab

  1. Tap Submit Emergency Response Plan Drill button to submit the emergency response plan drill.

Error Messages on Submit Emergency Response Plan Drill if

  • Scenario missing: if the no scenario has been added to the emergency response plan drill a error message will appear telling users the emergency response plan drill could not be submitted with out drill scenario being added.
  • Employee Signature Missing: if the employee has not signed the emergency response plan drill a error message will appear telling users the emergency response plan drill could not be submitted with out signature from the employee.
  • Report is submitted out of order: if the emergency response plan drill is submitted out of order a error message will appear telling users the emergency response plan drill is submitted out of order.

14.Delete Emergency Response Plan Drill

Once in the Emergency Response Plan Drill section

Steps
  1. Tap the second tab on the menu, the Emergency Response Plan Drill view.
  2. To Search Emergency Response Plan Drills: Pull down on the list view, the search is defaulted to search by date enter the date in following format YYYY-MM-DD.   5. Tap the Delete button. The emergency response plan drill will be deleted.

15.View Closed Emergency Response Plan Drill

After Emergency Response Plan Drills have been closed out, they will be available to look at through the History view on the iPhone Application.

  1. Then tap on the third tab on the bottom of the screen, this opens the Emergency Response Plan Drill History screen. The screen loads with emergency response plan drill date in blue text and job site name in red text.
  2. To Search Emergency Response Plan Drills: Pull down on the list view, the search is defaulted to search by date enter the date in following format YYYY-MM-DD. The other option for the Emergency Response Plan Drill search by job site name. Enter your search criteria and click the Search button.

  3. Scroll the list of Emergency Response Plan Drills until the desired Emergency Response Plan Drill is displayed on the screen.
  4. Tap the emergency response plan drill you would like to view, this loads the site information and drill date of the history section.
  5. Tap the second tab, the participants tab of the History view. This loads with the list of participants in the drill.
  6. Tap the third tab, the drill scenario tab of the History view. This loads with the drill scenarios of the Emergency Response Plan Drill.
    1. Scroll the list of Drill Scenarios until the desired Drill Scenario is displayed on the screen.
    2. Tap the drill scenario you would like to view, this loads.
      • Drill Scenario Name
      • Description
      • Issues Found
      • Corrective Actions

16.Update Emergency Response Plan Drills

As other field staff and employee's perform emergency response plan the library of existing emergency response plan for field staff to use will grow. Also to perform emergency response plan drills field staff perform emergency response plan drills with other staff there will be a need for field staff to update their IPhone application.

  1. From the Menu screen, tap the Updates button.
  2. Scroll the list of sections until you find the Emergency Response Plan button.
  3. Tap on the Emergency Response Plan button.
