The maintenance report section allows a user to input the maintenance reports, and
submit information about the equipment of the company so that it can be managed.
The maintenance reports is set up in a number of
sections; basic information, the issues found, and follow up for these issues.
Maintenance Report Creation
Maintenance Reports are created for tasks that require attention, once a personal protective equipment inspection
is submitted to R & T Electric Pro. The following reports also create maintenance reports when submitted:
- Vehicle Inspections
- Personal Protective Equipment Inspections
- Equipment Inspections
- First Aid Kit Inspections
- Fire Extinguisher Inspections

1.Add Maintenance Report |
Steps
- From the Main Menu screen, tap the Company button.
- Then tap on the Maintenance Report button.
- This opens the Add Maintenance Report entry screen.
- Date: The date field allow field staff to choose the date the maintenance report occurs.
- Tap the Date button to open the Choose Date screen.
- Scroll the calender screen and select the date from the calender.
- Tap the Maintenance Type field to open the Choose Maintenance Type screen.
Maintenance Type are listed in descending order maintenance type names.
- Scroll the list of maintenance type names until the desired maintenance type name is displayed on the screen.
- Tap the desired maintenance type name to select it or tap Back in the top left corner to leave the maintenance type field unchanged and return to the Add Maintenance Report screen.
- Return to the Add Maintenance Report screen by either tapping the appropriate maintenance type name or tapping Cancel in the top left corner to leave the Maintenance Type name field unchanged.
- Tap the + icon in the top right corner to add the Maintenance Report.
- A pop-up message that reads Maintenance Report Added indicates that the Maintenance Report is ready to have details to be entered.

2.Look Up Open Maintenance Report |
|
Once in the Maintenance Report section
Steps
- Tap the second tab on the menu, the Maintenance Report view.
- The view loads with Vehicle Maintenance, Equipment Maintenance and Inspection Follow. Are the three types of Maintenance Reports in R & T Electric Pro. Tap on one of them to view the reports in that section.
To Search Job Safety Analysis: Pull down on the list view, the search is defaulted to search by date enter the date in following
format YYYY-MM-DD. The other option for the Job Safety Analysis search by description. Enter your search
criteria and click the Search button.
- Scroll the list of Maintenance Reports until the desired Maintenance Report is displayed on the screen.

- Tap on the Maintenance Report you would like to view. This loads the maintenance report edit screen.

3.Edit Maintenance Report Details |
|
The first step in completing a Maintenance Report is completing the details of the report, including the date, the employee
submitting the report and if a vehicle maintenance report the vehicle.
Once on the Maintenance Report you would like to Edit, on the details tab.
Steps
- Vehicle select box. The Vehicle select box appears if the maintenance report was created for a vehicle. Users must
select a vehicle, after creating a vehicle maintenance report.
>Vehicle are listed in descending order with the vehicle description.
- Scroll the list of vehicles until the desired vehicle is displayed on the screen.
- Tap the desired vehicle to select it.
- Date: The date field allow field staff to choose the date the maintenance report occurs.
- Tap the Date button to open the Choose Date screen.
- Scroll the calender screen and select the date from the calender.
- Employee select box.
To Search Employees: Pull down on the list view, the search is defaulted to search by last name.
The other option for the Employee search is by first name. Enter your search
criteria and click the Search button.
Employees are listed in descending order.
- Scroll the list of employee until the desired employee is displayed on the screen.
- Tap the desired employee to select it.
- Tap Edit Maintenance Report Details button to save any changes to the Maintenance Report Details.
- A pop-up message that reads Maintenance Report Details have been Saved indicates that the maintenance report details have been saved.

4.Sign Maintenance Report |
|
Once on the Maintenance Report you would like to Edit, on the details tab.
Steps
- Tap the Reported by Signature button to open the View Signature screen.
- Tap the Create new button to open the Signature Edit screen.
- Sign in the white space beneath the Save New Drawing Here label.
- Tap Save in the top right corner of the screen to update the Signature field.

If you select a piece of equipment, the description, tool number and serial number will be saved when the record saves
- Scroll the list of equipment until the desired equipment is displayed on the screen.
- Tap the desired equipment to select it.
- Tool Description: The tool description field allows field staff to enter a description of the tool or equipment that requires attention. The Character limit of the field is 250.
- Tool Number: The tool number field allows field staff to enter a tool number of the tool or equipment that requires attention. The Character limit of the field is 50.
- Serial Number: The serial number field allows field staff to enter a serial number of the tool or equipment that requires attention. The Character limit of the field is 50.
- Deficiency or Issue: The deficiency or issue field allows field staff to enter a description of the issues found for the problem. The Character limit of the field is 250.
- Tap the + icon in the top right corner to add the a maintenance report issue.

- Tap the Delete button. The maintenance issue will be deleted.

9.Edit Maintenance Report Detail Follow Up |
|
For all maintenance issues, R & T Electric Pro gives the field staff the ability to add follow up to how a issue was resolved.
Once on the Maintenance Issue you would like to Edit

- Tap the Follow Up icon at the top of the screen to open the Edit Follow Up screen.
Fields
- Creation Date: The creation date field allow field staff to choose the date the maintenance issue is reported.
- Tap the Date button to open the Choose Date screen.
- Scroll the calender screen and select the date from the calender.
- Follow Up Date: The follow up date field allow field staff to choose the date the maintenance issue is followed up.
- Tap the Date button to open the Choose Date screen.
- Scroll the calender screen and select the date from the calender.
- Repaired By: The repaired by field allows field staff to enter a description of who repaired the issue. The Character limit of the field is 100.
- Description of Follow Up: The description of follow up field allows field staff to enter a description of what was done to fix the issue. The Character limit of the field is 250.
- Follow Up Status select box. Users can enter if the issue has been resolved, needs further action or has not been dealt with
>Follow Up Status are listed in descending order with the name.
- Scroll the list of follow up status's until the desired status is displayed on the screen.
- Tap the desired follow up status to select it.
- Follow Up By select box. Allows the user to select the employee who was in charge of the follow up of the issue. This can be
the person who sent the equipment to a service provider to be fixed.
Employees are listed in descending order.
- Scroll the list of employee until the desired employee is displayed on the screen.
- Tap the desired employee to select it.
- Tap the Save Maintenance Follow Up button on the top right corner of the screen to save the maintenance follow up.

10.Submit Maintenance Report |

Once on the Maintenance Report you would like to Submit, on the details tab.

12.View Closed Maintenance Report |
|
After Maintenance Reports have been closed out, they will be available to look at through the History view on the iPhone Application.

- The Third tab, the History view loads with Vehicle Maintenance, Equipment Maintenance and Inspection Follow. Are the three types of Maintenance Reports in R & T Electric Pro. Tap on one of them to view the reports in that section.
- Scroll the list of Maintenance Report Types until the desired Maintenance Report Type is displayed on the screen.
- Tap on the Maintenance Report Type you would like to view. This loads Report Type in red text, employee whom
reported the maintenance report in black text, date of the Maintenance Report in red text . .

format YYYY-MM-DD. The other option for the Job Safety Analysis search by description. Enter your search
criteria and click the Search button.
- Scroll the list of Maintenance Reports until the desired Maintenance Report is displayed on the screen.
- Tap on the Maintenance Report you would like to view. This loads the first tab, the Maintenance Report details tab of the History view.
It loads the following details including date, reported by and reported by signature.
- Tap the second tab, the Maintenance Report Issues's tab of the History view. This loads with the part of the equipment that has the issue and the deficiency or
comments for each issue.
- Tap on the issue, for the full view of the issues details. Depending on the type of maintenance report the fields are different.
- On the Issue details view, Tap on the Follow up Tab to view the Follow up Details

13.Update Maintenance Reports |
|
To ensure field staff have the most up to date copy of the equipment and vehicles in the
companies fleet make sure to update your phone on a regular basis. For more information about updating your phone.
Steps
- From the Menu screen, tap the Updates button.
- Scroll the list of sections until you find the Maintenance Report button.
- Tap on the Maintenance Report button.
