Employee

Employees are the users and the participants in your safety program. It"s very important that all employees of your company, not just the field staff are involved in your safety program. Most auditors will consider paperwork completed by office staff as an important part of your safety program. The employees you add and maintain in SafetyNet will be able to complete paperwork and safety statistic, hours worked and training can be tracked in SafetyNet.

Companies will add the employees name and contact information and provided them with a username and password to gain access to the web site and smartphone applications.

Companies will differentiate employees with experience type, system role and by adding an organizational chart job titles. System Role changes users" access, management, safety officers and office staff have more access than field staff. The first three can manage the safety forms, while field staff can only enter new reports.

Instead of calling this section Add Employees we called it Manage Employees because it’s also important to manage employees and making them inactive when they don’t work for your company anymore. It"s important that employees get taken off the list of active employees to keep your active roster of employees accurate.

1.Search Employee

Employee can be searched by a combination of experience type, active status and salary type. Users can narrow search results by choosing any combination of the three search criteria.

All search results can be sorted by clicking on the results headings Employee Name, Initial, Experience Type,User Name, Password, Role, Start Date, End Date, Salary Type, Hours Entry Type, and Active Status. Clicking on the same heading can do switching the results order from ascending to descending.

2.Delete Employee

Deleting an employee may have to be done if the employee was added to the system incorrectly. Only employees that have not been referenced in any safety reports can be deleted.

To delete a employees click the 'Delete' link of the employee you want to delete.

3.Add Employee

To add a Employee, click on the 'Add Employee' link.

On the next screen, under Add Employee heading, select:

Fields

User Name: Enter the employee's user name. The character limit of this field is 15.

User Password: Enter the employee's user password. The character limit of this field is 15.

First Name: Enter the employee's first name. The character limit of this field is 25.

Last Name: Enter the employee's last name. The character limit of this field is 25.

Initial: Enter the employee's initial. The character limit of this field is 3.

Experience Type: Choose the employee's experience type in the select box.

Email: Enter the employee's contact email. The character limit of this field is 50.

Role: Choose what is the employee's role in the select box.

Start Date: Enter the employee's start date. The format of this field is YYYY-MM-DD.

End Date: Enter the employee's end date. The format of this field is YYYY-MM-DD.

SafetyNet has allows employee's to save three phone numbers.

Description: Enter the description of phone line. The character limit of 20.

Phone Number: Enter the phone number. The character limit is 20.

If company have added Company Employee Orientations SafetyNet allows users to add the employee orientation

Would you like to Add Employee Orientation for Employee: Choose Yes to add a employee orientation for the new employee

Company Employee Orientation: If you have chosen Yes above, choose a company employee orientation from the select box.

If company have added Organization Chart titles SafetyNet allows users to add the employee to the Organizational chart

Would you like to Add Organizational Chart Role for Employee: Choose Yes to add a organizational chart title for the new employee

Organizational Chart Role: If you have chosen Yes above, choose a organizational chart role from the select box.

Click 'Add Employee' to add the employee account.

4.Look Up Employee

To get to the edit screen of a employee, click on the name of the employee that you would like to edit.

5.Edit Employee

Once on the employee edit screen.

Fields

User Name: Enter the employee's user name. The character limit of this field is 15.

User Password: Enter the employee's user password. The character limit of this field is 15.

First Name: Enter the employee's first name. The character limit of this field is 25.

Last Name: Enter the employee's last name. The character limit of this field is 25.

Initial: Enter the employee's initial. The character limit of this field is 3.

Experience Type: Choose the employee's experience type in the select box.

Click 'Save Employee' button to edit the employee account.

6.Edit Employee Monthly Salary Hours

Only employee set up a Enter Hours Type value set to Salary, will have Employee Monthly Salary Hours.

Once on the employee edit screen.

Click the 'Edit' Link of the monthly salary entry you would like to edit.

Month Hours: Enter the monthly hours. This field requires a numeric value.

7.Add Employee Signature

Once on the employee edit screen.

Under the Add Signature Heading

File: Click the choose graphic button and select a signature graphic you want to upload.

Click 'Add Signature' button, to add the signature graphic.

8.Delete Employee Signature

Once on the employee edit screen.

If a signature graphic is attached to the employee, a signature graphic will show up.

Click 'Delete' link, to delete the signature graphic.

9.Add Profile Picture

Once on the employee edit screen.

Under the Add Profile Picture Heading

File: Click the choose graphic button and select a profile picture you want to upload.

Click 'Add Profile Picture' button, to add the profile picture.

10.Delete Profile Picture

Once on the employee edit screen.

If a signature graphic is attached to the employee, a signature graphic will show up.

Click 'Delete' link, to delete the signature graphic.

11.Add Current Job Description

Once on the employee edit screen.

Click 'Add New Current Job Description' link, to load the add new current job description screen

Fields

Paragraph: Enter the current job description for the employee. The character limit of this field is 500.

Click 'Add Paragraph' button to add the current job description.

12.Edit Current Job Description

Once on the employee edit screen.

Click 'Edit' link, of the current job description paragraph you would like to edit.

Fields

Paragraph: Enter the current job description for the employee. The character limit of this field is 500.

Click 'Save Paragraph' button to edit the current job description.

13.Delete Current Job Description

Once on the employee edit screen.

Click 'Delete' link, of the current job description paragraph you would like to delete.
