Pre Job Planning Plans

The pre job planning plan section is set up to allow company staff to create a pre job planning plan for a staff member to complete.

Staff can choose from company pre job planning plan, SafetyNet allows companies to create company pre job planning plans from many default pre job planning plans.

SafetyNets Smartphone application allows field staff to complete pre job planning plans in the field and submit them to the system. For information about completing a pre job planning plans through the Smartphone click here.

Once a Pre Job Planning Plan is submitted:

  1. 1. An Email can be sent to the employee to review the pre job planning and to the employee whom prepared the pre job planning. (For more information about email alerts check the email alerts section of the manual).
  2. 2. Safety Net Statistics are updated for the number of pre job planning plans completed and passed for companies and employees.

Setting up how often pre job planning plans should occur

How often pre job planning plans must occur is a function of your companies policy regarding pre job planning plans. To configure Safety Net for how often pre job planning plans should occur can be configured in the company safety settings.

Management, Office Staff and Safety Officers can edit how often pre job planning plans should occur in the Company section when they edit the Company Safety settings.

The pre job planning plan section is only available to users that have the pre job planning plan section turned on for their users group. To change users access to pre job planning plans, management and office staff can change access in Application Section to view the information about the Application Section Click Here

1.Search Pre Job Planning Plans

Pre Job Planning Plans can be searched by a combination of the 'Customer','Work Order','Month' and 'Submission Status'. Users can narrow down the search results by choosing any combination of the four search criteria.

All search result can be sorted by clicking on the results headings; Date, Work Order Number, Customer, job site and Status. Clicking on the same heading can do switching the results order from ascending to descending.

2.Delete a Pre Job Planning Plan

Delete a pre job planning plan may have to be done if the report is corrupted or if pre job planning plan was added to the system incorrectly. Only pre job planning plans that have not been reviewed by management can be deleted.

To delete a pre job planning plan, click the 'Delete' link of the pre job planning plan you want to delete.

3.Look up a Pre Job Planning Plan

To get to the edit screen of a pre job planning plan, click on the “Date” link of the pre job planning plan that you would like to edit.

To view the report in html click on the 'Html view' link of the pre job planning plan you would like to view.

To view a printable document file (PDF) view of the pre job planning plan report, click on the 'PDF view' link of the appropriate pre job planning plan report.

4.Add Pre Job Planning Plan

To add a pre job planning plan, click on the 'Add Pre Job Planning Plan' link.

On the next screen, enter information in the following fields:

Work Order #: By selecting a work order number from the work order select box users can choose whom took the pre job planning plan. On the add pre job planning plan you can choose any active employee from the company.

Date: The date field defaults to today$s date. The date field is formatted in YYYY-MM-DD format and will not accept any other format.

Prepared By: By selecting a employee from the employee by select box users can choose whom is in charge of reviewing the questionnaire. On the add questionnaire you can choose any active employee from the company.

Supervisor: By selecting a supervisor from the employee select box users can choose whom took the questionnaire. On the add questionnaire you can choose any active employee from the company.

Click the 'Save Details' button to add the pre job planning plan.

5.Edit a Pre Job Planning Plan

Once a user has clicked the 'Date' field, the Edit Pre Job Planning Plan window opens

Work Order #: By selecting a work order number from the work order select box users can choose whom took the pre job planning plan. On the add pre job planning plan you can choose any active employee from the company.

Date: The date field defaults to today$s date. The date field is formatted in YYYY-MM-DD format and will not accept any other format.

Scope of Work: The Scope of Work field initially displays the scope of work from the work order and, therefore, may need to be refined to reflect the scope of work for the day/shift. The character limit of this field is 250.

Prepared By: By selecting a employee from the employee by select box users can choose whom is in charge of reviewing the questionnaire. On the add questionnaire you can choose any active employee from the company.

Supervisor: By selecting a supervisor from the employee select box users can choose whom took the questionnaire. On the add questionnaire you can choose any active employee from the company.

Estimated Number of Days of Job: Enter the number of days the job should take. Its a numeric value.

Estimated Number of Worker Hours: Enter the number of worker hours the job should take. Its a numeric value.

Estimated Average Number of Workers on Site: Enter the number of workers on site for the job. Its a numeric value

Other Tasks to be completed as part of Job: The Other Tasks to be completed as part of Job field allows users to enter tasks to be completed on the job that do not fall into the company task list. The character limit of this field is 500.

Once the information has been input,click the 'Save Pre Job Planning Plan' button to ensure that any information changed is saved in the system.

6.Edit Yes No Question

Once the edit pre job planning plan screen

Click the 'Load Edit Yes / No Questions' link.

All of the Yes No questions will load with the question and a select box to choose Yes or No for each question

Once the yes no question information have been edited, click on the 'Save' button.

7.Edit Long Answer Question

Once the edit pre job planning plan screen

Click the 'Load Edit Long Answer Questions' link.

All of the long answer questions will load with the question and a answer field for each question. The character limit of this field is 500.

Once the long answer question information have been edited, click on the 'Save' button.

8.Submitting the Pre Job Planning Plan

Once a pre job planning plan has been completed, it must be submitted for review by management or the employee whom prepared the pre job planning plan. To do this, click on the 'Submit Pre Job Planning Plan' button. An email will be sent to the supervisor,employee whom prepared the pre job planning plan.

9.Reviewing the Pre Job Planning Plan

Once a pre job planning plan has been submitted management or a supervisor should review and sign off that pre job planning plan have been completed.

Once a pre job planning plan has been completed, it must be submitted for review by management. To do this, click on the 'Submit Pre Job Planning Plan' button. An email will be sent to the employee whom prepared the pre job planning plan.
