Equipment Sign Out Report

The Equipment Sign Out Report section allows field staff to complete equipment sign out reports for work orders and company vehicles directly from the IPhone application.

When a Equipment Sign Out Report is created all equipment currently signed out to that Vehicle or Work Order are added to the report so that the employee can confirm that equipment is where it is suppose to be.

When Equipment Sign Out Report actions occur in R & T Electric Pro a email is sent to the companies representative, so that the movement of equipment can be noted.

Configuring Equipment Sign Out Report Submission Email Alert

The company representative that receives a email from R & T Electric Pro, when a equipment sign out report submission occurs is a function of who is set up to receive the Equipment Sign Out Report Submission. The person whom should receive this email, should probably be someone in management. To configure Safety Net for whom receives receives this email alert in the Company Email Alert section.

Management, Office Staff and Safety Officers can edit who should receive the Equipment Sign Out Report Submission email alert in the company email alert section. 1.Add Equipment Sign Out Report For Vehicle

Steps
  1. From the Main Menu screen, tap the Company button.
  2. Then tap on the Equipment Sign Out Report button.
  3. This opens the Equipment Sign Out Report For Vehicle entry screen.
  4. Tap the Vehicle field to open the Choose Vehicle screen.
  5. Vehicle are listed in descending order with the vehicle code in red text, the vehicle description in black text, and the license plate in blue text.

    Note: New vehicles are not automatically added to the list when they are created, so it may be necessary to update the list click here to view information about updating for the desired vehicle to be included in the list.

    To Search Vehicles: Pull down on the list view, the search is defaulted to search by vehicle code. The other options for the Vehicle search are by description and license plate. Enter your search criteria and click the Search button.

    1. Scroll the list of vehicle until the desired vehicle is displayed on the screen.
    2. Tap the desired vehicle to select it or tap Back in the top left corner to leave the vehicle field unchanged and return to the Add Equipment Sign Out Report screen.
    3. Return to the Add Equipment Sign Out Report screen by either tapping Save in the top right corner to select the highlighted vehicle or tapping Cancel in the top left corner to leave the Vehicle field unchanged.
  6. Date: The date field allow field staff to choose the date the fire extinguisher inspection occurs.
    1. Tap the Date field to open the Choose Date screen.
    2. Scroll the date wheel on the far left of the screen until the desired date is highlighted.
    3. Return to the Add Equipment Sign Out Report screen by either tapping Save in the top right corner to select the highlighted date or tapping Cancel in the top left corner to leave the Date: field unchanged.
  7. Tap the + icon in the top right corner to add the equipment sign out report.
    • A pop-up message that reads 'Equipment Sign Out Report Added' indicates that the Equipment Sign Out Report has been added.

2.Add Equipment Sign Out Report For Work Order

Steps
  1. From the Main Menu screen, tap the Company button.
  2. Then tap on the Equipment Sign Out Report button.
  3. Then tap on the Second Icon on the bottom menu to Open the Add Equipment Sign Out Report By Work Order.
  4. Tap the Work Order # field to open the Choose Work Order screen.
  5. Work orders are listed in descending order with the work order number in blue text, the customer name in black text, and the scope of work in red text.

    Note: New work orders are not automatically added to the list when they are created, so it may be necessary to update the list click here to view information about updating for the desired work order to be included in the list.

    To Search Work Orders: Pull down on the list view, the search is defaulted to search by date enter the date in following format YYYY-MM-DD. The other options for the Work Order search are by work order number and customer. Enter your search criteria and click the Search button.

    1. Scroll the list of work orders until the desired work order is displayed on the screen.
    2. Tap the desired work order to select it or tap Back in the top left corner to leave the Work Order # field unchanged and return to the Add Equipment Sign Out Report screen.
    3. Return to the Add Equipment Sign Out screen by either tapping Save in the top right corner to select the highlighted work order or tapping Cancel in the top left corner to leave the Work Order field unchanged.

3.Look Up Open Equipment Sign Out Report

Once in the Equipment Sign Out Report section

  1. Tap the third tab on the menu, the Equipment Sign Out Report view.
  2. To Search Equipment Sign Out Reports: Pull down on the list view, the search is defaulted to search by date enter the date in following format YYYY-MM-DD. The other option for the Equipment Sign Out Report search are by employee last name. Enter your search criteria and click the Search button.

  3. Scroll the list of Equipment Sign Out Reports until the desired Equipment Sign Out Report is displayed on the screen. Listing the vehicle code or work order number in red text, the employee name in black text and the report date in orange text.
  4. Tap on the Equipment Sign Out Report you would like to view. This loads the equipment sign out report information edit screen.

4.Edit Equipment Sign Out Report Info

Once on the Equipment Signed Out Report you would like to Edit

  1. Date: The date field allow field staff to choose the date the equipment sign out report occurs.
    1. Tap the Date field to open the Choose Date screen.
    2. Scroll the date wheel on the far left of the screen until the desired date is highlighted.
    3. Return to the Edit Equipment Signed Out Report screen by either tapping Save in the top right corner to select the highlighted date or tapping Cancel in the top left corner to leave the Date: field unchanged.
  2. Report Notes: The report notes field allows field staff to enter notes re guarding the equipment sign out report. The Character limit of the field is 500.
  3. Tap Save in the top right corner to save any changes to the Equipment Sign Out Report.
    • A pop-up message that reads Equipment Sign Out Report has been Saved indicates that the equipment sign out report has been saved.

5.Add Employee Signature

The employee whom conducts the Equipment Sign Out Report must provide an electronic signature to indicate that they have been made aware of equipment sign out report.

Once on the Equipment Sign Out Report you would like to Edit

Steps
  1. Tap the first tab, the details tab.
  2. Tap the employee signature button.
  3. Sign in the white space beneath the Save New Signature Here label.
  4. Tap Save in the top right corner of the screen to update the Saved Signature field.
  5. The saved signature will appear below the signature entry screen.

6.Add Equipment Sign Out Report Detail

The Equipment Sign Out Report Detail section of the Equipment Sign Out Report, allows users to add equipment sign out report detail for report.R & T Electric Pro equipment sign out details includes information about equipment in either the vehicle or job site of a work order..

Once on the Equipment Sign Out Report you would like to view

  1. Tap on the second tab, the Details icon at the bottom of the screen to open the Equipment Sign Out Details screen. The screen loads opens with a list of equipment sign out report details, with the equipment code and equipment name, and notes in red text.
  2. Tap the Add button on the top right corner, this loads the add equipment sign out detail screen.
  3. Fields
  4. Equipment: The equipment field allow field staff to choose the equipment to add as a new detail.
  5. Equipment is listed in descending order equipment code.

    Note: Equipment your company uses will change over time by nature will be updated and added to the list all the time, so it may be necessary to update the list click here.

    1. Scroll the list of equipment until the desired equipment is displayed on the screen.
    2. Tap the desired equipment to select it or tap Back in the top left corner to leave the Equipment field unchanged and return to the Add Equipment Sign Out Report Detail screen.
    3. Return to the Add Equipment Sign Out Report Detail screen by either tapping the appropriate equipment or tapping Cancel in the top left corner to leave the Equipment field unchanged.
  6. Status: The Status field is a prompt for field staff to check the status of the equipment on the report.
    1. Tap ______ on the _____|Satisfactory|Requires Action segmented controller to indicate that the equipment has not been checked.
    2. Tap Satisfactory on the _____|Satisfactory|Requires Action segmented controller to indicate that the equipment is in satisfactory condition.
    3. Tap Requires Action on the _____|Satisfactory|Requires Action segmented controller to indicate that the equipment requires action, maybe because its not in the van.
  7. Notes: The notes field allows field staff to enter a notes of the issues found for the equipment. The Character limit of the field is 250.
  8. Tap the + icon on the top right corner, to add the a equipment sign out report detail.

7.Look Up Equipment Sign Out Report Detail

Once on the Equipment Sign Out Report you would like to view

  2. Scroll the list of Equipment Sign Out Report Detail until the desired detail is displayed on the screen.
  3. Tap on the desired detail. This loads the edit Equipment Sign Out Report Detail screen.

8.Edit Equipment Sign Out Report Detail

Once on the edit Edit Equipment Sign Out Report Detail screen

Fields
  1. Status: The Status field is a prompt for field staff to check the status of the equipment on the report.
    1. Tap ______ on the _____|Satisfactory|Requires Action segmented controller to indicate that the equipment has not been checked.
    2. Tap Satisfactory on the _____|Satisfactory|Requires Action segmented controller to indicate that the equipment is in satisfactory condition.
    3. Tap Requires Action on the _____|Satisfactory|Requires Action segmented controller to indicate that the equipment requires action, maybe because its not in the van.
  2. Notes: The notes field allows field staff to enter a notes of the issues found for the equipment. The Character limit of the field is 250.
  3. Tap the Save button on the top right corner, to edit the a equipment sign out detail.

9.Delete Equipment Sign Out Report Detail

Once on the Equipment Sign Out Report you would like to view

  1. Tap on the second tab, the Details icon at the bottom of the screen to open the Equipment Sign Out Report Details screen. The screen loads opens with a list of equipment sign out report details with the equipment code and equipment name in blue text and comments in red text.
  2. Scroll the list of Equipment Sign Out Report Details until the desired detail is displayed on the screen.
  3. Swipe from the right edge to the left to bring up the delete button for the Equipment Sign Out Report Details.
  4. Tap the Delete button. The equipment sign out report detail will be deleted.

10.Submit Equipment Sign Out Report

Once on the Equipment Sign Out Report you would like to Submit, all the equipment sign out report detail have been added and inspected and the inspection has been signed off on.

11.Delete Equipment Sign Out Report

Once in the Equipment Sign Out Report section

  1. Tap the third tab on the menu, the Equipment Sign Out Report view.

  3. Scroll the list of Equipment Sign Out Reports until the desired Equipment Sign Out Report is displayed on the screen. Listing the vehicle code or work order number in red text, the employee name in black text and the report date in orange text.
  4. Swipe from the right edge to the left to bring up the delete button for the equipment sign out report.
  5. Tap the Delete button. The equipment sign out report will be deleted.

12.View Closed Equipment Sign Out Report

After Equipment Sign Out Reports have been closed out, they will be available to look at through the History view on the iPhone Application.

Once on the Equipment Sign Out Report section

  1. Tap the fourth tab on the menu, the History tab of the main menu view. This loads with a list of the closed out Equipment Sign Out Reports listing the vehicle code or work order number in red text, the employee name in black text and the report date in orange text.
  2. To Search Equipment Sign Out Reports: Pull down on the list view, the search is defaulted to search by date enter the date in following format YYYY-MM-DD. The other option for the Equipment Sign Out Report search are by employee last name. Enter your search criteria and click the Search button.

  3. Scroll the list of Equipment Sign Out Reports until the desired Equipment Sign Out Report is displayed on the screen.
  4. Tap on the Equipment Sign Out Report you would like to view. This loads the first tab, the equipment sign out information, which loads with the equipment sign out report date, work order number or vehicle code, and the employee whom conducted the equipment sign out report at the top.
  5. Tap the second tab, the Equipment Sign Out Report Detail lists the equipment on the equipment sign out report.

10.Update Equipment Sign Out Reports

As other field staff and employee's perform equipment sign out reports the the records of equipment signed out will change for work orders and vehicles.

  1. From the Menu screen, tap the Updates button.
  2. Scroll the list of sections until you find the Equipment button.
  3. Tap on the Equipment button.
