Equipment Sign Out Report

The Equipment Sign Out Report section allows field staff to complete equipment sign out reports for work orders and company vehicles directly from the IPhone application.

When a Equipment Sign Out Report is created all equipment currently signed out to that Vehicle or Work Order are added to the report so that the employee can confirm that equipment is where it is suppose to be.

When Equipment Sign Out Report actions occur in R & T Electric Pro a email is sent to the companies representative, so that the movement of equipment can be noted.

Configuring Equipment Sign Out Report Submission Email Alert

The company representative that receives a email from R & T Electric Pro, when a equipment sign out report submission occurs is a function of who is set up to receive the Equipment Sign Out Report Submission. The person whom should receive this email, should probably be someone in management. To configure Safety Net for whom receives receives this email alert in the Company Email Alert section.

Management, Office Staff and Safety Officers can edit who should receive the Equipment Sign Out Report Submission email alert in the company email alert section. 1.Search Equipment Sign Out Report

Equipment sign out reports can be searched by a combination of customer,vehicle and employee and submission status. Users can narrow search results by choosing any combination of the two search criteria.

All search results can be sorted by clicking on the results headings Date, Employee, Work Order, Vehicle, and Submission Status. Clicking on the same heading can do switching the results order from ascending to descending.

2.Delete Equipment Sign Out Report

Deleting equipment sign out reports may have to be done if the equipment sign out report was added to the system incorrectly. Only equipment sign out reports that have not been reviewed by management can be deleted.

To delete a equipment sign out reports click the 'Delete' link of the equipment sign out report you want to delete.

3.Add Equipment Sign Out Report for Work Order

To add a Equipment Sign out report, click on the 'Add Equipment Sign Out Report for Work Order' link.

On the next screen, under Add Equipment Sign out report heading, select:

Work Order: By selecting a work order from the select box, which loads with a work order number users can edit which work order the hazard assessment is for.

Employee: By selecting a employee from the conducted by select box users can choose whom conducted the equipment sign out report. On the add equipment sign out report you can choose any active employee from the company.

Then click the 'Add Equipment Sign Out Report' button. The edit equipment sign out report screen will load. From here, proceed to edit as per the instructions below.

4.Add Equipment Sign Out Report for Vehicle

To add a Equipment Sign out report, click on the 'Add Equipment Sign Out Report for Vehicle' link.

On the next screen, under Add Equipment Sign out report heading, select:

5.Look up Equipment Sign Out Report

To get to the edit screen of a equipment sign out report, click on the date of the equipment sign out report that you would like to edit.

To view the html version equipment sign out report report in click on the 'Html view' link of the equipment sign out report you would like to view.

From each html view you can also open the PDF version of the report by clicking on the PDF link on the top of the page.

To view a printable document file (PDF) view of the equipment sign out report report, click on the 'PDF view' link of the appropriate equipment sign out report report.

6.Edit Equipment Sign Out Report

Once the edit equipment sign out report screen

Fields

Date: The equipment sign out report date is the day the equipment sign out report was carried out. The format of this field is YYYY-MM-DD.

Employee: By selecting a employee from the conducted by select box users can choose whom conducted the equipment sign out report. On the add equipment sign out report you can choose any active employee from the company.

Notes: Allows the user to notes about the equipment signed out. The character limit of this field is 500.

Click the 'Edit Equipment Sign Out Report' button to ensure that any information changed is saved in the system.

7.Look Up Equipment Sign Out Report Details

Once the edit equipment sign out report screen

Click the Equipment Code of the detail you would like to edit, this loads the edit equipment detail screen

8.Edit Equipment Sign Out Report Details

Once the edit equipment sign out detail screen

Fields

Review Flag: Allows the user to select the review flag from the select box of the equipment sign out report detail.

Deficiency Notes: Allows the user to input deficiency notes of the equipment signed out. If Requires attention is selected from the review flag field a note must entered describing what requires attention. The character limit of this field is 250.

Once the necessary information has been input, click the 'Save Details' button.

9.Add Equipment Sign Out Report Details

Once the edit equipment sign out report screen

Click the Load Add Equipment Sign Out Report Detail button, this loads the add equipment sign out report detail screen

Equipment: By selecting a equipment from the equipment select box users can choose equipment from companies list of equipment.

Review Flag: Allows the user to select the review flag from the select box of the equipment sign out report detail.

Once the necessary information has been input, click the 'Save Details' button.

10.Delete Equipment Sign Out Report Details

Once the edit equipment sign out report screen

Click the Delete button, of the equipment sign out report detail.

11.Submitting Equipment Sign Out Report

Once a equipment sign out report has been completed, it must be submitted for review by management. To do this, click on the 'Submit Equipment Sign out report' button.

12.Reviewing Equipment Sign Out Report

Once a equipment sign out report has been submitted, management or supervisory staff should review and sign off that the equipment sign out report has been completed properly and that issues found can be brought to the attention of the proper personnel.
