Safety Inspection

The safety inspection section allows a user to input the results of safety inspections performed on job sites for a specific work order. A safety inspection is intended to look at the performance of field staffs safety preparedness and organization. The safety inspection can be setup to be done on a daily, weekly or monthly basis. The vehicle inspection is set up in a number of sections; basic information, checklists of tasks to inspect, and observations.

The checklists are configured and maintained by company staff, to match up with companies safety concerns and field of work. The checklist categories include

  • Personal Protective Equipment
  • Mobile Equipment
  • Condition of Hand Tools
  • Signing
  • Emergency Precautions
  • Housekeeping

When Checklist items are marked as requiring attention, observation records are created in the Observation section of the safety inspection. Field Staff can add other observations directly from the Observation section of the safety inspection.

Once a observation has been created, a follow up for the observation should be added to spell out how the problem will be solved

R & T Electrics Smartphone application allows field staff to complete safety inspections in the field and submit them to the system. For information about completing a safety inspection through the Smartphone click here.

Once a safety inspection is submitted:

  1. An email can be sent to the person in charge of the safety. (For more information about email alerts check the email alerts section of the manual)
  2. Safety Net Statistics are updated for number of safety inspections completed for companies,customers, job sites, work orders and employees.
  3. Safety Net Statistics are updated for number of kilometers driven for companies and vehicles.

Configuring R & T Electrics Safety Inspection task checklists

On a Safety Inspection there are 6 sections of lists that companies must maintain. These six sections make up the majority of the Safety inspection. Companies can choose tasks from the list of Safety Net’s default safety inspection tasks or add their own tasks to tailor their inspection to their companies needs.

Configuring how often safety inspections should occur

How often safety inspections must occur is a function of your companies policy regarding safety inspections. To configure Safety Net for how often vehicle inspection should occur can be configured in the company safety settings.

Management, Office Staff and Safety Officers can edit how often safety inspections should occur in the Company section when they edit the Company Safety settings.

1.Search Safety Inspections

Safety Inspections can be searched by a work orders the reports were created in. Users can narrow search results by choosing the search criteria.

All search results can also be sorted by clicking on the results headings Inspection Date, Work Order # and Job Site Clicking on the same heading can do switching the results order from ascending to descending.

2.Delete a Safety Inspection

Deleting safety inspections may have to be done if the report is corrupted or if the safety inspection was added to the system incorrectly. Only safety inspections that have not been reviewed by management can be deleted.

To delete a safety inspection click the “Delete” link of the safety inspection you want to delete.

3.Add Safety Inspection

To add a Safety Inspection, click on the 'Add Safety Inspection' link.

On the next screen, select:

Work Order # By selecting a work order from the work order select box users can choose which work order of the job site to be inspected.

Employee: By selecting a employee from the inspected by select box users can choose whom conducted the safety inspection.

Then click the 'Add' button. The edit safety inspection screen will load. From here, proceed to edit as per the instructions below.

4.Look up a Safety Inspection

To get to the edit screen of a safety inspection, click on the date of the safety inspection that you would like to edit.

To view an html view of the safety inspection report click on the $Html view$ link of the appropriate safety inspection report.

To view a printable document file (PDF) view of the safety inspection report click on the $PDF view$ link of the appropriate safety inspection report.

5.Edit Safety Inspection Details

In the edit safety inspection details section the following fields can be edited:

Fields

Work Order # By selecting a work order from the work order select box users can choose which work order of the job site to be inspected.

Employee: By selecting a employee from the inspected by select box users can choose whom conducted the safety inspection.

Scope of Work: The Scope of Work field initially displays the scope of work from the work order and, therefore, may need to be refined to reflect the scope of work for the day/shift. The character limit of this field is 250.

Inspection Date: The inspection date is the day the safety inspection was carried out. The format of this field is YYYY-MM-DD.

Click the 'Edit Safety Inspection' button to ensure that any information changed is saved in the system.

6.Remove Safety Inspection Employee

Removing a employee may be required if the wrong employee was added to a safety inspection. If the employee did not participate in the safety inspection or did not work on the job site on the given day they should not be on the safety inspection.

Once on the edit safety inspection screen

Employee: Select from the select box the employee to be removed.

click the 'Remove Employee' button.

7.Add Safety Inspection Employee

Adding employees to the Safety Inspection is crucial to reporting accurately. In order to have an accurate picture of the job site, adding employees to the Safety Inspection needed. While the safety inspection was created, the first employee was added to hazard assessment. Once a safety inspection is submitted all employee's added to the safety inspection will have access to the safety inspection.

Once on the edit safety inspection screen

Fields

Employee: Select from the select box the employee to be removed.

click the 'Add Employee' button.

8.Add Temporary Employee to Safety Inspection

Once and a while a person may need to added to a safety inspection, who is not a employee of your company. A subcontractor, or a customer employee are some examples. Its still important that they review the safety inspection. SafetyNet allows field staff to add outside employees to a safety inspection.

IMPORTANT NOTE Its very important that the add temporary employee function is not used to add a new employee to the company to a safety inspection. Temporary employee statistics are not tracked. So its very important to add a new employee to your company the proper way to SafetyNet. For more information about Employee management click here to view the Employee section of this manual.

Once on the edit hazard assessment screen

Below the Add Temporary Employee to Hazard Assessment heading

Fields

First Name: The First Name field should indicate the legal given name of the employee. The character limit of this field is 25.

Last Name: The Last Name field should indicate the legal surname of the employee. The character limit of this field is 25.

Email: The Email field should indicate the best (i.e., most often used for business purposes) e-mail address for the employee. The character limit of this field is 25.

Phone Number: The Phone Number field should indicate the best (i.e., most often used for business purposes) telephone number (land line or cellular) for the employee. The character limit of this field is 13.

Company: The Company field should indicate the name of the company for which the employee works. The character limit of this field is 75.

click the 'Add Employee' button.

9.Edit Personal Protective Equipment Inspection CheckList

To edit the personal protective equipment inspection tasks, click on the 'Load Edit Personal Protective Equipment Inspection Tasks' button. This will load all of the personal protective equipment inspection tasks for the safety inspection. For up to 15 personal protective equipment inspection tasks the task description will be displayed. The following fields can be changed for each task:

Checked Status: Each task can be marks as Not Checked, Satisfactory or Requires Actions, change the value by selecting from the select box.

Comments: A comment about the deficiency that requires attention. The character limit of this field is 250.

Once all personal protective equipment inspection tasks information has been entered, click on the 'Save Personal Protective Equipment Inspection Tasks' button to ensure that any information changed is saved in the system.

10.Edit Mobile Equipment Inspection CheckList

To edit the mobile equipment inspection tasks, click on the 'Load Edit Mobile Equipment Inspection Tasks' button. This will load all of the mobile equipment inspection tasks for the safety inspection. For up to 15 mobile equipment inspection tasks the task description will be displayed. The following fields can be changed for each task:

Checked Status: Each task can be marks as Not Checked, Satisfactory or Requires Actions, change the value by selecting from the select box.

Comments: A comment about the deficiency that requires attention. The character limit of this field is 250.

Once all mobile equipment inspection tasks information has been entered, click on the 'Save Mobile Equipment Inspection Tasks' button to ensure that any information changed is saved in the system.

11.Edit Condition of Hand Tools Inspection CheckList<

To edit the condition of hand tools inspection tasks, click on the 'Load Edit Condition of Hand Tools Inspection Tasks' button. This will load all of the condition of hand tools inspection tasks for the safety inspection. For up to 15 signing inspection tasks the task description will be displayed. The following fields can be changed for each task:

Checked Status: Each task can be marks as Not Checked, Satisfactory or Requires Actions, change the value by selecting from the select box.

Comments: A comment about the deficiency that requires attention. The character limit of this field is 250.

Once all condition of hand tools inspection tasks information has been entered, click on the 'Save Condition of Hand Tools Inspection Tasks' button to ensure that any information changed is saved in the system.

12.Edit Signing Inspection CheckList

To edit the signing inspection tasks, click on the 'Load Edit Signing Inspection Tasks' button. This will load all of the signing inspection tasks for the safety inspection. For up to 15 signing inspection tasks the task description will be displayed. The following fields can be changed for each task:

Checked Status: Each task can be marks as Not Checked, Satisfactory or Requires Actions, change the value by selecting from the select box.

Comments: A comment about the deficiency that requires attention. The character limit of this field is 250.

Once all signing inspection tasks information has been entered, click on the 'Save Signing Inspection Tasks' button to ensure that any information changed is saved in the system.

13.Edit Emergency Precautions Inspection CheckList

To edit the emergency precautions inspection tasks, click on the 'Load Edit Emergency Precautions Inspection Tasks' button. This will load all of the emergency precautions inspection tasks for the safety inspection. For up to 15 emergency precautions inspection tasks the task description will be displayed. The following fields can be changed for each task:

Checked Status: Each task can be marks as Not Checked, Satisfactory or Requires Actions, change the value by selecting from the select box.

Comments: A comment about the deficiency that requires attention. The character limit of this field is 250.

Once all emergency precautions inspection tasks information has been entered, click on the 'Save Emergency Precautions Inspection Tasks' button to ensure that any information changed is saved in the system.

14.Edit Housekeeping Inspection CheckList

To edit the housekeeping inspection tasks, click on the 'Load Edit Housekeeping Inspection Tasks' button. This will load all of the housekeeping inspection tasks for the safety inspection. For up to 15 housekeeping inspection tasks the task description will be displayed. The following fields can be changed for each task:

Checked Status: Each task can be marks as Not Checked, Satisfactory or Requires Actions, change the value by selecting from the select box.

Comments: A comment about the deficiency that requires attention. The character limit of this field is 250.

Once all housekeeping inspection tasks information has been entered, click on the 'Save Housekeeping Inspection Tasks' button to ensure that any information changed is saved in the system.

15.Add Observation

Once on the Safety Inspection you want to edit.

Under the Add Observation heading

Fields

Observation/Deficiency: The Observation/Deficiency field gives the user the ability to describe the issues found with the during a safety inspection. The user should enter a description or a comment about the problem found. The character limit of this field is 250.

Recommendation: The Recommendation field gives the user the ability to provide a recommendation to solve the observed problem. The character limit of this field is 250.

Target Date: The target date is the day the observation will be fixed by. The format of this field is YYYY-MM-DD.

Then click the 'Save Observation' button. The edit observation screen will load. From here, proceed to edit as per the instructions below.

16.Look Up Observation

Once on the Safety Inspection you want to edit.

Under the Observation heading

Click on the observation link of the observation to be edited.

17.Edit Observation

Once on the Observation you want to edit.

Fields

Follow Up Description: The Observation/Deficiency field gives the user the ability to describe the issues found with the during a safety inspection. The user should enter a description or a comment about the problem found. The character limit of this field is 250.

Employee: The Recommendation field gives the user the ability to provide a recommendation to solve the observed problem. The character limit of this field is 250.

Follow Up Date: The target date is the day the observation will be fixed by. The format of this field is YYYY-MM-DD.

Click the 'Save Observation' button to ensure that any information changed is saved in the system.

18.Delete Observation

Once on the Safety Inspection you want to edit.

Under the Observation heading

To delete a Observation, click on the delete link of the observation that you would like to delete.

19.Add Follow Up

Once on the Safety Inspection you want to edit.

Under the Add Follow Up heading

Follow Up Description: The Follow up Description field gives the user the ability to describe the solution to solve the problem. The character limit of this field is 250.

Employee: Select the employee from the employee select box of the employee whom takes care of the follow up.

Follow Up Date: The follow up date is the day the observation is fixed. The format of this field is YYYY-MM-DD.

Then click the 'Save Follow up' button. The edit follow up screen will load. From here, proceed to edit as per the instructions below.

20.Look Up Follow Up

Once on the Observation you want to edit.

Under the Follow Up heading

Click on the follow up link of the follow up to be edited.

21.Edit Follow Up

Once on the Follow Up you want to edit.

Fields

Follow Up Description: The Follow up Description field gives the user the ability to describe the solution to solve the problem. The character limit of this field is 250.

Employee: Select the employee from the employee select box of the employee whom takes care of the follow up.

Follow Up Date: The follow up date is the day the observation is fixed. The format of this field is YYYY-MM-DD.

Click the 'Save Follow Up' button to ensure that any information changed is saved in the system.

22.Delete Follow Up

Once on the Observation you want to edit.

Under the Follow Up heading

To delete a Follow Up, click on the delete link of the follow up that you would like to delete.

23.Submitting Safety Inspection

Once a safety Inspection has been completed, it must be submitted for review by management. To do this, click on the 'Submit Safety Inspection' button. An email will be sent to the employee in charge of safety if the safety inspection email alert has been set up for the company in Safety Net.

24.Reviewing Safety Inspection

Once a safety inspection has been submitted management or a supervisor should review and sign off that safety inspections have been completed properly and that issue found can be brought to the attention of management of

  1. The safety inspection were completed properly.
  2. The issues found have been accounted for and dealt with.

Once a safety Inspection has been submitted for review by management. To do this, click on the 'Review Safety Inspection' button.
