Site Orientation

The site orientation section allows a user to create and record a site orientation. Site Orientations can be created from scratch for any jobsite or based on a Company Site Orientation. Job Sites can be setup to require employees to complete Site Orientations.

Since each job site is different, RTPro allows a field staff to setup a specific orientation for each job site. Each Site Orientation for a job site is set up with a number of sections; basic information, site information, introduction to the site, emergency procedures, locations of importance, safety details, introduction to important staff on site and employees involved in the site orientation.

R & T Electrics Smartphone application allows field staff to complete site orientations in the field and submit them to the system. For information about completing a site orientation through the Smartphone click here.

Once a site orientation is submitted:

  1. An email can be sent to the person in charge of the site orientations. (For more information about email alerts check the email alerts section of the manual)
  2. R & T Electrics Statistics are updated for number of site orientations completed for companies, customers, and jobsites.

Configuring Jobsite Site Orientation requirement

Job Sites come in all shapes and sizes especially in the service business, it just might not be practical for field staff to complete site orientations for every job site they visit. SafetyNet allows clients to customize their system to their business situation. To this end RTPro allows administrators to help clients configure Job Sites to require or not to require site orientations. Creating Company Site Orientations for Jobsites

The Company Site Orientation section allows companies to develop the site orientation documents, without having to carry out a site orientation. For more information about managing company site orientation in this manual click here to view the Company Site Orientation section.

1.Search Site Orientation

Site Orientations can be searched by a combination of the company customers and or submission status the reports were created in. Users can narrow search results by choosing any combination of the two search criteria.

All search results can also be sorted by clicking on the results headings Job site name, Date, Site Address and Submission status. Clicking on the same heading can do switching the results order from ascending to descending.

2.Delete Site Orientation

Deleting site orientations may have to be done if the site orientation was added to the system incorrectly. Only site orientations that have not been reviewed by management can be deleted.

To delete a site orientation click the "Delete" link of the site orientation you want to delete.

3.Look up Site Orientation

To get to the edit screen of a site orientation, click on the date of the site orientation that you would like to edit.

To view the html version site orientation report in click on the "Html view" link of the site orientation you would like to view.

When you first open report you will be viewing the full site orientation view of the site orientation. This includes the description paragraphs for each reviewable section. Click on the Full Site Orientation link on the top of the html view to view the full site orientation version of the report, including paragraphs.

From each html view you can also open the PDF version of the report by clicking on the PDF link on the top of the page.

To view a printable document file (PDF) view of the site orientation report, click on the "PDF view" link of the appropriate site orientation report.

4.Add Site Orientation for Job Site

To add a Site Orientation, click on the "Add Site Orientation" link.

On the next screen, under Add Site Orientation heading, select:

Job Site By selecting a job site from the select box, which loads with a customers name and then the jobsite name users can choose which jobsite they want to create a site orientation for will be orientated on. NOTE: To narrow down the numbers of jobsites to choose from use the "Search Customer on Add Site Orientation" function.

Conducted By: By selecting a employee from the conducted by select box users can choose whom conducted the site orientation. On the add site orientation you can choose any active employee from the company.

Then click the "Add Site Orientation" button. The edit site orientation screen will load. From here, proceed to edit as per the instructions below.

5.Search Customer on Add Site Orientation

While on the "Add Site Orientation for Jobsite" screen, Under the Search Customer on Add Site Orientation heading choose a customer:

Customer: The Customer select box is populated with companies customers.

Click the "Search Jobsites" button. The Job Site select box on the Add Site Orientation section will load with only the jobsites of the selected customer.

6.Add Site Orientation From Company Site Orientation

As with every other facet of SafetyNet, the site orientation section was built with the ability to work with the paper work you have already produced in the past. Saving valuable time and sharing valuable knowledge your company has already collected in the past. Site Orientations created in the field in the past can become the standard or company site orientation for a given site, so instead of your field staff having to spend a lot of time writing out a entire site orientation, they can spend their time making sure the current company site orientation details match the current situation.

To add a site orientation from company site orientation click on the "Add new Site Orientation from Company Site Orientation" link.

On the next screen the Company Site Orientations will load, with a listing Job site names��� and site addresses, clicking the "Add Site Orientation" link for a company Site Orientation record, will create a new site orientation for the jobsite with all of the information from the Company Site Orientation.

To view the html checklist version of the company site orientation: click on the html link on the record line. Once on the html checklist version of the company site orientation you can see the full orientation by clicking on the "Full Site Orientation" link on the top of the report.

To view the PDF checklist version of the company site orientation by clicking on the PDF link on the record line.

To narrow down the numbers of company site orientations to choose from use the "Search Customer on Company Site Orientation" function.

7.Search Customer on Company Site Orientation

While on the "Add New Site Orientation from Company Site Orientation" screen, Under the Search Customer on Add Company Site Orientation heading choose a customer:

Customer The Customer select box is populated with companies' customers.

Click the "Search Jobsites" button the company site orientations, the company site orientations for the selected customer's jobsites will load.

8.Edit Site Orientation Information

In the edit site orientation information section the following fields can be edited:

Date: The site orientation date is the day the site orientation was carried out. The format of this field is YYYY-MM-DD.

Conducted By: By selecting a employee from the conducted by select box users can choose whom conducted the site orientation. On the edit site orientation basic information section only employees added to the site orientation populate this select box. To change the employee that conducted the site orientation to a employee not on the site orientation, they must first be added to the site inspection.

Click the "Save Site Orientation" button to ensure that any information changed is saved in the system.

9.Add or Edit Site Orientation Explanation

The explanation section allows users to add or edit the explanation of a jobsite. This section can be used to describe aspects of the site that cannot be well covered in other parts of the system. Some companies may use this section to talk about what type of business is run on the site so employee' have a better understanding of what they will be working around.

To add a new paragraph click, the "Add Site Orientation Explanation Paragraph".

To load a paragraph to edit, click on the paragraph.

Once the add or edit screen

Fields

Order: The order field sets the order of which the paragraph will appear in.

Paragraph: The paragraph field allows the user to add a paragraph. The character limit of the field is 500.

Click the "Save Explanation Paragraph" button to ensure that any information changed is saved in the system.

10.Review Site Orientation Explanation

The review site orientation explanation allows users to change the review status of the explanation section.

Clicking on the Yes, No or N/A links will change the review status of the explanation.

11.Add or Edit Site Orientation Emergency Procedures

The emergency procedures section allows users to add or edit emergency procedure information for the site. Information that should be covered in this section includes such things as emergency exits; muster points, and reporting procedures. For each entry users can add a section name and then a explanation paragraph and the order of which the emergency procedures will appear.

To add a new paragraph click, the "Add Site Orientation Emergency Procedure Paragraph".

To load a paragraph to edit, click on the emergency procedure name.

Once the add or edit screen

Fields

Order: The order field sets the order of which the paragraph will appear in.

Name The name of the emergency procedure. The name of the section will appear on the full and checklist versions of the site orientation. It should a good overview of what the emergency procedure will talk about. The character limit of this field is 100.

Paragraph The paragraph field allows the user to add a explanation of the section. The paragraph will only appear on the full version of the site orientation. The character limit of the field is 500.

Click the "Save Emergency Procedures" button to ensure that any information changed is saved in the system.

12.Review Site Orientation Emergency Procedure

The review site orientation emergency procedure allows users to change the review status of each emergency procedure.

Clicking on the Yes, No or N/A links will change the review status of the emergency procedure.

13.Add or Edit Site Orientation Location Information

The location section allows users to add or edit location information for the site. Information that should be covered in this section includes such things as first aid kits, fire extinguishers, and toilets. For each entry users can add a section name and then a explanation paragraph and the order of which the location will appear.

To add a new paragraph click, the "Add Site Orientation Location Paragraph".

To load a paragraph to edit, click on the location information name.

Once the add or edit screen

Fields

Order: The order field sets the order of which the paragraph will appear in.

Name: The name of the location description. The name of the section will appear on the full and checklist versions of the site orientation. It should a good overview of what the location description will talk about. The character limit of this field is 100.

Paragraph The paragraph field allows the user to add a explanation of the section. The paragraph will only appear on the full version of the site orientation. The character limit of the field is 500.

Click the "Save Location Description" button to ensure that any information changed is saved in the system.

14.Review Site Orientation Location Information

The review site orientation location information allows users to change the review status of each location information detail.

Clicking on the Yes, No or N/A links will change the review status of the location information detail.

15.Add or Edit Site Orientation Introduction Information

The introduction section allows users to add or edit introduction information for the site. Information that should be covered in this section includes such things as first aid aiders, supervisors, and other important people. For each entry users can add a section name and then a explanation paragraph and the order of which the introduction paragraph will appear.

To add a new paragraph click, the "Add Site Orientation Introduction Paragraph".

To load a paragraph to edit, click on the safety detail name.

Once the add or edit screen

Fields

Order: The order field sets the order of which the paragraph will appear in.

Name The name of the introduction description. The name of the section will appear on the full and checklist versions of the site orientation. It should a good overview of what the introduction description will talk about. The character limit of this field is 100.

Paragraph The paragraph field allows the user to add a explanation of the section. The paragraph will only appear on the full version of the site orientation. The character limit of the field is 500.

Click the "Save Introduction Description" button to ensure that any information changed is saved in the system.

16.Review Site Orientation Introduction Information

The review site orientation introduction information allows users to change the review status of each introduction information detail.

Clicking on the Yes, No or N/A links will change the review status of the introduction information detail.

17.Removing Employee from Site Orientation

Removing an employee from a site orientation, may be required if an employee was added by mistake.

To remove an employee:

Under the "Remove Site Orientation Participant" heading, choose from the select box:

Participant: The site orientation participants populate the select box. Only employees that have been added to the site orientation can be removed.

Then click "Remove Participant" button, this will remove the employee from the site orientation.

18.Add Employee to Site Orientation

SafetyNet's Site Orientation section is set up so multiple employees can participant in a site orientation on the same submitted orientation.

To add an employee:

Under the "Add Employee to Site Orientation" heading, choose from the select box:

Employee: The companies' employees populate the select box. Employees can only be added once to a site orientation

Then click "Add Employee" button, this will remove the employee from the site orientation.

19.Add Temporary Employee to Site Orientation

Adding temporary employees to safety meeting, including but not limited to; sub contractors, who may be in attendance at the meeting with regular employees.

Fields

First Name: Enter the employee's first name. The character limit of this field is 25.

Last Name:

Email: Enter the employee's contact email. The character limit of this field is 50.

Phone Number: Enter the phone number. The character limit of this field is 20.

Company Name: Enter the company name of the of which the employee works for. The character limit of the field is 75.

Then click "Add Employee" button, this will remove the employee from the site orientation.

Once the temporary employees information have been added, click on the "Add Temporary Employee" button.

20.Submitting Site Orientation

Once a site orientation has been completed, it must be submitted for review by management. To do this, click on the "Submit Site Orientation" button.

An email will be sent to the employee in charge of vehicles if the site orientations email alert has been set up for the company in Safety Net.

21.Reviewing Site Orientation

Once a site orientation has been submitted management or a supervisor should review and sign off that site orientation have been completed properly and that issue found can be brought to the attention of management of

  1. The site orientation was completed properly.

Once a site orientation has been completed, it must be submitted for review by management. To do this, click on the "Submit Vehicle Inspection" button.

An email can be sent to the employee in charge of site orientations thru the email alert section of safety net.

22.Set Site Orientation as Company Site Orientation

Once management has reviewed a site orientation, they have the opportunity to transfer the site orientations details to company site orientation details for the given jobsite.

Be careful using this function, because there is no way to reverse the changes made once the button is pressed.

Users may use this function if the site orientation contains better or more current information about the site.

To set the site orientation as the new company site orientation click the "Set Site Orientation as Company Site Orientation" button.
