First Aid Kit Inspections

The first aid kit inspection section allows administration to help clients to create and record a first aid kit inspection. First Aid Kit inspections can be created from scratch or from a company first aid kit inspection. Job Sites and Vehicles can be setup to require employees to complete first aid kit inspections.

Since company vehicles and job sites are all different and may require different levels of first aid. RTPro allows a field staff to setup a specific first aid kit inspection for each job site and vehicle. Each First Aid Kit Inspection for a job site is set up with a number of sections; basic information, then first aid kits and the contents of each first aid kit.

Once a first aid kit inspection is submitted:

1. An email can be sent to the person in charge of the first aid kit inspections. (For more information about email alerts check the email alerts section of the manual)
2. Safety Net Statistics are updated for number of first aid kit inspections completed for companies, customers,job sites, and vehicles.

Configuring Job Site First Aid Kit Inspection requirement

Job Sites come in all shapes and sizes especially in the service business, it just might not be practical for field staff to complete first aid kit inspection for every job site they visit. SafetyNet allows clients to customize their system to their business situation. To this end R & T Electrics allows administrators to help clients configure Job Sites to require or not to require first aid kit inspections. Creating Company First Aid Kit Inspection from First Aid Kit Inspections

Once a First Aid Kit Inspection for a job site has been reviewed by management; management has the option of taking all the information from the first aid kit inspection and creating or editing the Company First Aid Kit Inspection for that job site or vehicle, with the simple click of a button. First aid kit inspections can be searched by a combination of customer and submission status. Users can narrow search results by choosing any combination of the four search criteria.

All search results can be sorted by clicking on the results headings Date, first aid kit inspection description,inspection type name, and submission status. Clicking on the same heading can do switching the results order from ascending to descending.

Deleting first aid kit inspections may have to be done if the first aid kit inspection was added to the system incorrectly. Only first aid kit inspections that have not been reviewed by management can be deleted.

To delete a first aid kit inspections click the "Delete" link of the first aid kit inspection you want to delete.

To get to the edit screen of a first aid kit inspection, click on the date of the first aid kit inspection that you would like to edit.

To view the html version first aid kit inspection report in click on the "Html view" link of the first aid kit inspection you would like to view.

From each html view you can also open the PDF version of the report by clicking on the PDF link on the top of the page.

To view a printable document file (PDF) view of the first aid kit inspection report, click on the "PDF view" link of the appropriate first aid kit inspection report.

To add a First Aid Kit Inspection, click on the "Add First Aid Kit Inspection for Vehicle" link.

On the next screen, under Add First Aid Kit Inspection for Vehicle heading, select:

Vehicle: By selecting a vehicle from the select box, which loads with a vehicle code and then the license plate number users can choose which vehicle they want to create a first aid kit inspection for.

Inspected By: By selecting a employee from the inspected by select box users can choose whom conducted the first aid kit inspection. On the add first aid kit inspection you can choose any active employee from the company.

Then click the "Add First Aid Kit Inspection" button. The edit first aid kit inspection screen will load. From here, proceed to edit as per the instructions below.

To add a First Aid Kit Inspection, click on the "Add First Aid Kit Inspection for Job Site" link.

On the next screen, under Add First Aid Kit Inspection For Job Site heading, select:

Job Site: By selecting a job site from the select box, which loads with a customer's name and then the job site name users can choose which job site they want to create a first aid kit inspection for. NOTE: To narrow down the numbers of job sites to choose from use the "Search Customer on Add First Aid Kit Inspection" function.

Inspected By: By selecting a employee from the inspected by select box users can choose whom conducted the first aid kit inspection. On the add first aid kit inspection you can choose any active employee from the company.

Then click the "Add First Aid Kit Inspection" button. The edit first aid kit inspection screen will load. From here, proceed to edit as per the instructions below.

While on the "Add First Aid Kit Inspection for Job site" screen, Under the Search Customer on Add First Aid Kit Inspections heading choose a customer:

Customer: The Customer select box is populated with companies' customers.

Click the "Search Jobsites" button. The Job Site select box on the Add First Aid Kit Inspection section will load with only the job sites of the selected customer.

Click on the date link to the left of the First Aid Kit Inspection description.

On the next screen the First Aid Kit Inspection for the job site will load.

Fields

Date: The first aid kit inspection date is the day the first aid kit inspection was carried out. The format of this field is YYYY-MM-DD.

Inspected By: By selecting a employee from the inspected by select box users can choose whom conducted the first aid kit inspection.

Click the "Save First Aid Kit Inspection" button to ensure that any information changed is saved in the system.

To get to the edit screen of a first aid kit inspection kit, click on the name of the first aid kit inspection kit you would like to edit.

The first aid kit inspection kit section allows users to add or edit the first aid kit inspection kits of a job site or vehicle. First Aid Kit inspection Kits are the actual first aid kits that are located on the job site or in a vehicle and what the type of first aid kit are in each location.

To add a new detail click, the "Add First Aid Kit Inspection Kit".

To load a detail to edit, click on the detail.

Once the add or edit screen

Fields

Location: Allows the user to input the location of the first aid kit. It may not be obvious when working on a large site where every first aid kit is located a simple description of where a first aid kit is located can go a long way in making inspections meaningful. The character limit of this field is 250.

First Aid Kit Inspection Kit Description: Allows the user to input specific information about the first aid kit such as first aid kits classification and appearance. The character limit of this field is 250.

First Aid Kit Type: Allows the user to select the first aid kit type.

Add Default First Aid Kit Supplies*: Choosing Yes will add the first aid kit types default contents to your first aid kit**.

*The Add Default First Aid Kit Supplies only exists on the Add first aid kit inspection kit.

**These default first aid kit supplies are based on the standards set in your companies area of work.

Once the necessary information has been input, click the "Save Kit" button.

Deleting company first aid kit inspection kit may have to be done if the company first aid kit inspection kit was added to the system incorrectly.

To delete a company first aid kit inspection kit, click the "Delete" link of the company first aid kit inspection kit you want to delete.

To get to the edit screen of a first aid kit inspection kit detail, click on the description of the product of the first aid kit inspection kit detail you would like to edit.

The first aid kit inspection kit detail section allows users to add or edit the first aid kit inspection kit details of a first aid kit. First Aid Kit inspection Kit details are the actual first aid kits contents.

To add a new detail click, the "Add First Aid Kit Inspection Kit Detail".

To load a detail to edit, click on the detail.

Once the add or edit screen

Fields

Description o Product: Allows the user to input the description of the product in the first aid kit. The character limit of this field is 250.

Quantity Required: Allows the user to enter the amount of the product that should be found in first aid kit.

Quantity Found Allows the user to enter the amount of the product that is actually found in first aid kit.

Deficiency Description: Allows the user to input notes about the condition or deficiencies of the first aid kit. If Requires attention is selected from the condition field a note must entered describing what requires attention. The character limit of this field is 250.

Review Flag: Allows the user to select the condition of the first aid kit detail. The default setting is Satisfactory.

Once the necessary information has been input, click the "Save Kit Detail" button.

Deleting first aid kit inspection kit detail may have to be done if the first aid kit inspection kit detail was added to the system incorrectly.

To delete a first aid kit inspection kit detail, click the "Delete" link of the first aid kit inspection kit detail you want to delete.

Once a first aid kit inspection has been completed, it must be submitted for review by management. To do this, click on the "Submit First Aid Kit Inspection" button.

Once a first aid kit inspection has been submitted, management or supervisory staff should review and sign off that the first aid kit inspection has been completed properly and that issues found can be brought to the attention of the proper personnel.

Once management has reviewed a first aid kit, they have the opportunity to transfer the first aid kit inspection details to company first aid kit inspection details for the given jobsite.

Be careful using this function, because there is no way to reverse the changes made once the button is pressed.

Users may use this function if the first aid kit inspection contains better or more current information about the site.

To set the first aid kit inspection as the new company first aid kit inspection click the "Set First Aid Kit Inspection as Company First Aid Kit Inspection" button.
