Vehicle

The vehicle section allows companies to manage their fleet of vehicles. From the basic information about vehicles in your companies fleet to more detailed information like the primary driver and insurance policy information all is stored in the vehicle section.

Reports also available to view in this section include:

  • Maintenance Reports completed for vehicle
  • Vehicle Incident Reports completed for vehicle
  • Vehicle Inspection Reports completed for vehicle
  • Kilometers driven records completed vehicles

Configuring vehicle Insurance Company and Policy Number on Company Edit

Changing each the information about which insurance company and the policy number of that policy can be time consuming process to edit each active vehicle. SafetyNet is set up to all users to change all vehicle records at once to change vehicles insurance company and policy number values by changing them in one place in the company section. Km Measure Entries are created Vehicle Inspections are Submitted

When a vehicle inspection is submitted to SafetyNet, a km measure entry is created using the vehicle involved in the vehicle inspection, the month the vehicle inspection was completed in and the odometer reading. For more information about vehicle inspections in this manual click here.

1.Search Vehicle

Vehicles can be searched by a combination of vehicle type and active flag. Users can narrow down the search by any or both of the search criteria.

All search results can be sorted by clicking on the results headings Description, Vehicle Code, License Plate, Primary Driver, Vehicle Year, Year Purchased, Serial Number and active flag. Click on the same heading with switch the results order from ascending to descending.

2.Add Vehicle

Vehicles are used throughout SafetyNet as part of all different kinds of reports. From tracking your field staff travel in them, to maintenance performed on them, to inspections and investigations involving them and to equipment stored in them. Ensuring all vehicles in your companies fleet is one of the most important issues in every company.

To add a new vehicle click the “Add Vehicle” link. A new window will appear.

Fields

Vehicle Type:Allows a user to select the type of vehicle. Choose the type of vehicle that best matches the vehicle. SafetyNet allows you to choose from Car, Van, Semi Truck and Truck.

Description:Allows a user to input a description of the vehicle. The description of the vehicle should be useful description to the staff of your company because along with the license plate and vehicle code are going to be used to select the right vehicle when creating reports. The character limit of this field is 75.

Model of Vehicle:Allows a user to input a vehicle model. The model of the vehicle field can be used to enter the model of the vehicle. The character limit of this field is 25.

Make of Vehicle:Allows a user to input a vehicle make. The make of the vehicle field can be used to enter the make of the vehicle. The character limit of this field is 50.

Primary Driver:Allows a user to select the primary driver. This should be employee whom drives the vehicle on a regular basis. This employee will be email when vehicle inspections are required. They will also receive emails when vehicle maintenance reports are filed for this vehicle.

Vehicle Code:Allows a user to input the company vehicle code. The vehicle code of the vehicle should be useful identifier to the staff of your company because along with the license plate and description are going to be used to select the right vehicle when creating reports. The character limit of this field is 15.

License Plate:Allows a user to input the vehicle license plate. The license plate is a very important identifier along with the license plate and description are going to be used to select the right vehicle when creating reports. The character limit of this field is 10.

Serial Number:Allows a user to input the serial number. SafetyNet has given companies to keep track of the serial numbers of vehicles with the rest of the vehicle information. The character limit of this field is 50.

Vehicle Year:Allow a user to input the year of the vehicle. The field is meant to hold year of which the vehicle was produced. The vehicle year should be a 4 digit value.

Date Bought:Allows a user to input the date of purchase. The field is meat to hold the date the vehicle was purchased The format of this field is YYYY-MM-DD.

Insurance Company:Allows a user to input the name of insurance company. The name of Insurance company whom the insurance for the vehicle is with. The character limit of this field is 50.

Policy Number:Allows a user to input the insurance policy number. The policy number of the insurance. The character limit of this field is 50.

Once the information has been entered, click the 'Save Vehicle' button.

3.Delete a Vehicle

Deleting vehicle inspections may have to be done if the report is corrupted or if the vehicle inspection was added to the system incorrectly. Only vehicle inspections that have not been reviewed by management can be deleted.

To delete a vehicle inspection click the 'Delete' link of the vehicle inspection you want to delete.

4.Look up a Vehicle Inspection

To get to the edit screen of a vehicle, click on the link under the column header “Description” that you would like to edit.

After looking up a vehicle staff will be taken to the edit screen for the vehicle where they can edit the basic information for the vehicle.

They will be able to view the list of reports which can also can be viewed by click on the date of the report. The following reports can be viewed.

  1. Vehicle Maintenance Reports- Reports of problems found and the follow up of these problems if the issues have been resolved.
  2. Vehicle Inspections Reports- Reports of Inspections carried out for given vehicle.
  3. Vehicle Investigation Reports- Reports of Investigations carried out that involved the given vehicle.
  4. Vehicle Kilometers driven records- Reports of the kilometers driven each month.

Once the information has been edited, click the 'Save Vehicle' button.

Monthly Km Measure

The monthly Km measure allows companies to track the vehicle mileage of vehicles on a month to month basis. When Vehicle Inspection are submitted a value is added for a vehicle into this table take last month"s odometer reading and comparing it to the new reading. Giving companies a number of km driven over the month.

6.Add Monthly Km Measure

While vehicle monthly Km measures are added as part of vehicle inspections, it is possible to add them directly for each vehicle on the vehicle edit page.

Once on the vehicle edit page, scroll down to the bottom.

Fields

Month: The select box populates with month and year. Choose the month – year combination that you want to enter the monthly km measure for.

Km Measure: The Km measure is the odometer reading of the vehicle at the time.

KM Monthly:The KM monthly value is the number of km driven in selected month. If you leave this field blank the system will calculate the KM monthly from the odometer reading from last month.

Once the information has been entered, click the 'Add' button.

7.Edit Monthly Km Measure

Km measures can be edited if odometer reading entered was incorrect.

To get to the edit screen click on the 'month year' link of the record to edit.

Fields

Delete a KM measure

Deleting a Km measure may have to be done if the vehicle was added to the system incorrectly.

To delete a km measure, click the 'Delete' link of the vehicle you wish to delete. This does not delete a related vehicle inspection.
